Article 1 (Definition of Personal Information)
In this Policy, “personal information” means personal information as defined under Japan’s Act on the Protection of Personal Information (the “APPI”). It refers to information relating to a living individual that can identify a specific individual by name, employer, telephone number, email address, or other descriptions (including information that can be readily collated with other information to identify a specific individual).

In providing the Services, we may collect the following personal information:
- Information collected via the inquiry form
- Name
- Company or organization name (optional)
- Email address
- Telephone number (optional)
- Inquiry category
- Content of the inquiry
- Information collected through business contracts and consulting engagements
- Name, job title, and department of the contract representative
- Business address, telephone number, and email address
- Building and facility information necessary for the engagement
- Information automatically collected through website use
- IP address, browser type and language settings, access timestamps, referrer
- Browsing history and similar data collected through cookies and similar technologies
- Statistical data obtained via web analytics tools (such as Google Analytics 4)
- Click and conversion data, and advertising identifiers obtained via advertising and effectiveness-measurement tools (such as Google Ads)
Except where required for the conduct of our business, we do not collect special-care-required personal information such as the Individual Number (My Number), bank account numbers, credit card numbers, driver’s license numbers, medical or health information, or information concerning beliefs or race.
Article 3 (Purpose of Use)
We use the personal information we collect within the scope of the following purposes:
- To respond to inquiries and consultations and to communicate with users
- To perform our work, including ZEB consulting, design support, energy code compliance review, commissioning (Cx), and subsidy application support
- To send information regarding lectures, training sessions, and seminars
- To provide information about our business (newsletters, etc., only with the user’s consent)
- To enter into and perform contracts, and to manage billing and payment
- To respond to opinions and requests and to improve our services
- To analyze the use of our website and to improve content
- To respond to laws, regulations, or requests from public authorities
- For other purposes incidental to those listed above
Article 4 (Changes in the Purpose of Use)
We may change the purpose of use within the scope reasonably deemed to be related to the original purpose. We will notify users of any such change by posting on our website or by other appropriate means.
Article 5 (Cookies, Analytics, and Advertising)
Our website may use cookies, web beacons, and similar technologies (collectively, “Cookies”), as well as analytics and advertising tools, to improve user experience, analyze usage, and measure and optimize advertising effectiveness.
- Cookies may be disabled through your browser settings. However, disabling Cookies may prevent some features of the website from functioning properly.
- Google Analytics 4 (GA4): We use Google Analytics 4, provided by Google LLC, to analyze how our website is used. This service uses Cookies to collect access information; however, the data collected is anonymized and does not identify individual users. - Google Ads: We use the conversion tracking and remarketing (retargeting) features of Google Ads, provided by Google LLC, to measure advertising effectiveness and deliver remarketing ads. As a result, our advertisements may be displayed to visitors of our website on third-party websites and applications. These ads are delivered based on prior access information collected via Cookies, but they do not contain information that identifies individual users.
- Opt-Out: Users may opt out of Google’s personalized advertising through the following means:

Article 6 (Provision to Third Parties)
We will not provide personal information to any third party without the user’s prior consent, except in the following cases:
- When required by law
- When it is necessary to protect the life, body, or property of a person and obtaining the user’s consent is difficult
- When it is particularly necessary to improve public hygiene or to promote the sound upbringing of children, and obtaining the user’s consent is difficult
- When it is necessary to cooperate with a national agency, local government, or a party entrusted by such an entity in carrying out duties prescribed by law, and obtaining the user’s consent may impede the execution of such duties
The following cases do not constitute provision to a third party:
- When we outsource the handling of personal information within the scope necessary to achieve the purpose of use (we will appropriately supervise the outsourcee)
- When personal information is provided in connection with a succession of business due to a merger or other reasons
Article 7 (Outsourcing of Personal Information)
We may outsource the handling of personal information to a third party to the extent necessary to achieve the purpose of use. In such cases, we will enter into a confidentiality agreement with the outsourcee and exercise appropriate supervision. Principal outsourcees include:
- Website hosting providers
- Providers of email distribution and inquiry management systems
- Providers of analytics and advertising-delivery tools
- Outsourcees for accounting, finance, and labor management
Article 8 (Security Measures)
As an ISO/IEC 27001 (ISMS) certified organization, we implement the following security measures to prevent the leakage, loss, or damage of personal information:
- Organizational measures: Appointment of a personal information protection officer, establishment of handling regulations, and supervision of staff.
- Personnel measures: Regular training and education of staff, and execution of confidentiality agreements.
- Physical measures: Entry/exit control of work areas and locked storage of documents and recording media.
- Technical measures: Access control, prevention of unauthorized access, encryption of communications (TLS/SSL), and regular security audits.
Article 9 (Retention Period)
We will retain personal information only for the period necessary to achieve the purpose of use or as required by applicable laws. After the purpose of use has been achieved or the retention period has elapsed, we will promptly delete or dispose of the personal information using appropriate methods.
Article 10 (Disclosure, Correction, and Suspension of Use)
In accordance with the APPI, users may make the following requests with respect to their personal information held by us:
- Notification of the purpose of use
- Disclosure (which may include provision in electronic form, as selected by the user)
- Correction, addition, or deletion
- Suspension or erasure of use
- Suspension of provision to third parties
- Disclosure of records of provision to third parties
To make such requests, please contact us via the contact desk listed at the end of this Policy. After verifying the identity of the requester, we will respond within a reasonable period in accordance with applicable laws.
Note that we may be unable to fulfill such requests for legal or other legitimate reasons. In such cases, we will notify the user of the reason.
Article 11 (Prohibition of Improper Use)
We will not use personal information in any manner that may encourage or induce illegal or improper acts.
Article 12 (Amendments to This Policy)
- We may revise this Policy from time to time in response to changes in laws and regulations, business activities, or other circumstances.
- The revised Policy will take effect from the time it is posted on our website. However, where changes require the user’s consent under applicable law, we will obtain such consent through methods designated by us.
